How to Use RollCall

📷  Scanning Inventory
1
Open the app — the camera starts automatically and shows a targeting frame.
2
Hold your phone so the barcode on the paper roll label sits inside the frame. Keep it steady for 1–2 seconds.
3
The app beeps and moves to the Confirm screen when a barcode is detected.
4
If the barcode is already registered, you'll see the paper name. Enter how many rolls are on the shelf right now and tap Update Inventory.
5
If the barcode is new (never scanned before), you'll be asked to pick which paper type it belongs to — this registers it for all workers automatically.
📋  Manual Paper Selection
1
On the scan screen, tap Select Paper Manually at the bottom.
2
A list of all paper types appears. Tap the one you want to update.
3
Enter the quantity on hand and tap Update Inventory — same as scanning.
Use manual mode if the barcode is damaged, missing, or your camera can't read it.
🔢  Understanding Quantity & Status

Enter the actual number of rolls on the shelf — not what was ordered or what was used. Count what's physically there right now.

STOCKEDAt or above max — fully stocked.
LOWBelow 50% of max — consider reordering.
ORDER1 roll left — needs to be ordered now.
EMPTY0 rolls — completely out of stock.

Max capacity for each paper type is set by the shop owner in Paper Types.

🔗  Adding Workers (Owner)
1
Open Settings and find your Join Code — it's a 6-character code like ABC123.
2
Tap Copy Join Code and send it to your worker via text or email.
3
The worker creates a RollCall account at the app URL, then enters the join code on first sign-in.
4
They're instantly linked to your shop and can start scanning. You'll see them appear in the Workers list.
The join code is permanent. Workers only need to enter it once. If you want to stop a worker from accessing the shop, remove them from the Workers list.
📦  Managing Paper Types (Owner)
1
Open Settings and scroll to Paper Types. This lists every paper your shop tracks.
2
To add a new paper type, tap + Add Paper Type. Enter its name, which section it belongs to (Blueprint / 24″ / 36″), and the max quantity your shop keeps on hand.
3
Max quantity determines the status thresholds. Set it to the number of rolls you'd consider "fully stocked."
New shops are pre-loaded with the standard paper types. You can add specialty papers anytime.
📊  Reports (Owner)

Both reports open in a new browser tab and can be printed or saved as PDF.

Full Stock Report
Shows every paper type, current quantity, max capacity, and status. Use this for daily inventory checks or shift handoffs.
Needs Ordering
Shows only papers at 0 or 1 roll. Each item includes its SKU number and a scannable Code 128 barcode. Print this and take it to the supply ordering station.
Allow pop-ups for the app URL in your browser — reports open as new windows.
📜  Recent Activity Log

The Recent Activity section logs every inventory update: who made it, which paper, what quantity, and when.

Example entry:
Alex — Photo Gloss 24″ → 2 rolls  ·  5 min ago

Tap Load More to see older entries. The log is permanent and cannot be edited — it's your audit trail.

💡  Tips & Best Practices
Install as an app. In Chrome on Android, tap the menu (⋮) and select "Add to Home screen." On iPhone Safari, tap the Share button and "Add to Home Screen." The app works offline after installation.
Scan at the start of each shift. A quick scan-through takes 5–10 minutes and keeps your Needs Ordering report accurate throughout the day.
Scan in good light. The camera works best when the barcode label is well-lit and not wrinkled. For damaged labels, use manual mode.
Updates sync instantly. All workers share the same live inventory. If two people scan the same paper, the last update wins — so communicate before doing a full count together.
Offline support. If you lose connection mid-scan, the update is queued and sent automatically when you reconnect.
